Define privileges, ownership and change controls for integrations.
A brokerage CRM integration should define which system owns the customer record, trading account, account-group assignment and financial-operation status. The platform and CRM may both display a balance, but the integration still needs an authoritative record for each permitted operation.
Write down the account lifecycle: request, validation, creation, credential delivery through an approved process, activation, restriction and closure. State what should happen when a platform action succeeds but the CRM cannot immediately record the result.
Repeated delivery is a normal possibility in an integration. Use a stable business-operation identifier and an agreed reconciliation method to determine whether an action was already performed. A retry should not create a second trading account or duplicate a balance operation.
For example, after an account-creation timeout the integration should check the recorded platform result before issuing another creation request. If the outcome remains uncertain, place the operation into a review queue with a clear owner instead of reporting success to the client.
Keep payment-provider approval, CRM status and trading-platform balance actions as distinct steps. Decide who can authorise a credit or debit and how cancellations, corrections and failed downstream updates are handled. An API connection alone does not define those business controls.
Agree a scheduled reconciliation report showing pending, completed, failed and unresolved operations. Include the correlation identifiers required for investigation. Restrict access to sensitive client information and avoid exposing it in an initial technical enquiry or analytics event.
Test account creation with valid and invalid input, duplicate delivery, unavailable platform connectivity, delayed responses and insufficient permissions. Validate group assignment and any required account restrictions. Compare the final CRM record with the platform record after each scenario.
Before handover, document the available API scope, operational credentials management, monitoring, retry policy and manual recovery procedure. Link the CRM runbook to the platform and execution runbooks so an incident can be traced across systems.
